PRACTICAL TIPS FOR TELEHEALTH CONSULTATIONS – DR MONICA MOORE

Telehealth Counselling: What I Have Found Helpful

Technology:
For a seamless and secure telehealth experience, I use the paid version of Zoom, which provides a stable connection, encryption for confidentiality, a waiting room, and password protection for added security. To ensure smooth communication, I make sure my battery is fully charged, and I keep my phone available in case I need to call if any technical issues arise. For any troubleshooting, I rely on online resources like Google and YouTube for quick solutions. I use Heidi to create session notes and Halaxy for record-keeping.

Professionalism:
Maintaining professionalism is essential, even in a virtual setting, so I wear appropriate work attire. To ensure a comfortable and professional visual experience, I position my camera at eye level, with the frame capturing my head and upper chest. I’ve carefully selected a peaceful, neutral background to avoid distractions and create a calming environment for our session. Good lighting is key, and I use a ring lamp with variable settings behind the screen.

Comfort:
To maintain my own energy and focus throughout the day, I schedule breaks between appointments. Whether it’s a quick walk, some gardening, or enjoying a cup of tea, I make sure to recharge. I use earbud headphones for clear audio, and I’ve adjusted my desk and seating to ensure maximum comfort during sessions.

Preparation:
Before each appointment, I send an email to my patients with essential information, including a telehealth consent form, tips for a comfortable session, and the Zoom link to join the meeting. This helps set the stage for a smooth, stress-free experience.

Ethics and Confidentiality:
Confidentiality is a top priority. I advise patients about my use of Heidi and Halaxy. I do not record any sessions and kindly ask my patients to refrain from doing so as well. At the start of each session, I check in with patients about their privacy—many of my clients choose secure, private locations like their cars or unused offices. I also ensure my own workspace is private, with my door closed during sessions. Additionally, I work with each patient to develop a crisis plan to ensure they have support if needed.
